Job Description
Human Resources Assistant Primary Purpose: The Human Resources Assistant is responsible for ensuring the smooth operation of HR services by handling front desk operations, administrative tasks, and service delivery. This role serves as the first point of contact for employees, students, and external stakeholders, providing excellent customer service and administrative support to the HR team.
Essential Functions: - Oversee daily front desk operations, including but not limited to, I-9 verification, background checks, unemployment and employment verifications, Federal Work-Study (FWS) audits, and OnBase document management.
- Manage and respond to all HR-related emails and phone inquiries in a timely and professional manner.
- Provide general office support, including coordinating office supplies, setup, maintenance requests, and coordinating safety-related requests.
- Processes student EPAF (Electronic Personnel Action Form) and other EPAFs as needed. Provides support to ensure accurate employee records and payroll actions.
- Manage and maintain HR websites such as MyPacific portal and HR external site, ensuring accurate and updated HR-related information for employees and students.
- Provide administrative support to the HR team including ProCard.
- Serve as a lead, train, and provide guidance to HR student workers, ensuring a positive and productive work environment.
- Support service delivery by maintaining efficient HR processes, enhancing employee experiences, and improving response times.

Minimum Qualifications: - Two (2) years of post high school education (minimum of 48 units).
- Two (2) years of experience in an administrative role.
- One (1) year of experience in Human Resources.
Preferred Qualifications: - Bachelor's Degree in Human Resources or related field.
- Two (2) years of experience in an administrative or customer service role, preferably within HR.
- Two (2) years of experience with I-9 verification, employment verification, and related compliance requirements.
- Two (2) years of experience managing front desk operations or working in a fast-paced, service-oriented environment.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office Suite, HRIS systems, and document management platforms.
- Excellent communication and interpersonal skills to interact with employees, students, and external agencies.
- Experience with Federal Work-Study (FWS) audits.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience and sensitivity in working with people of diverse backgrounds and cultures.
- Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
- Ability to engage and integrate culturally responsive practices and knowledge in their work.

Work Environment/Work Week/Travel:Work is performed during standard hours; Additional hours may be required to meet business needs or deadlines.
Hiring Range: $20.16 - $25.00 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.
